Job Summary
Huisong Inc. is seeking a Business Operations Coordinator to support our daily operations, logistics, inventory, customer communication, and administrative processes. This role is ideal for someone who enjoys variety, is highly organized, and is willing to assist wherever needed.
The position includes both office and occasional light warehouse responsibilities. The ideal candidate is proactive, comfortable working with multiple departments, and able to support a fast-paced and growing business.
Responsibilities:
- Track inventory levels and coordinate inbound and outbound shipments.
- Ensure on-time delivery to customers by monitoring due dates and communicating with internal teams.
- Coordinate with customers, freight companies, and carriers regarding shipments and pickups.
- Receive, inspect, log, repackage, relabel, and ship samples according to customer requirements.
- Verify incoming freight against invoices and purchase orders.
- Create packing lists, invoices, and shipping documentation in Salesforce.
- Prepare reports, spreadsheets, and operational documentation.
- Support communication between Sales, Customer Service, Warehouse, Production, QA/QC, Procurement, and Logistics teams.
- Resolve operational and logistics-related issues in a timely manner.
- Handle purchasing, invoices, compliance documentation, and general administrative support.
- Assist with trade show registrations, shipments, payments, and event setup.
- Support marketing efforts to reach contract manufacturers, supplement brands, and distributors.
- Help improve and document internal workflows, procedures, and processes.
- Provide general support across departments based on business needs.
Light Warehouse Responsibilities:
- Receive and inspect incoming samples and production shipments.
- Label, organize, and prepare sample orders and outbound shipments.
- Pick, pack, and organize inventory and shipping materials.
- Wrap small pallets and prepare freight details for carrier pickup.
- Utilize Excel, Salesforce, WMS, ERP, and inventory systems to track inventory and shipments.
- Maintain an organized, clean, and safe warehouse and storage area.
- Occasionally lift and move boxes up to 25–30 pounds.
Qualifications:
- 2+ years of experience in operations, logistics, customer service, inventory, office administration, or a related role.
- Strong organizational skills and ability to manage multiple priorities.
- Excellent communication and follow-through.
- Detail-oriented with strong problem-solving ability.
- Comfortable working in both an office and light warehouse environment.
- Proficient in Microsoft Excel, Outlook, and data entry.
- Experience with Salesforce, ERP systems, WMS, inventory management, shipping, or purchasing is preferred.
- Mandarin and English language skills are preferred due to communication with global teams.
